Outlook/Exchange Calendar Sharing

Microsoft Outlook allows Calendars to be shared when used with the back-end mail server Microsoft Exchange.

Sharing Calendars

In Outlook 2003:

  1. In the left pane, click Calendar.

  2. Under My Calendar, click Share My Calendar.

    The current permissions are displayed.

  3. Click Add.

  4. Choose the users from the Global Address List, by selecting each one in turn and clicking Add.

  5. When finished, click OK.

    Those users will now be selected in the Calendar Properties dialog.

  6. Set the permissions required for those users under Permissions.

  7. Click OK.

Opening Another User's Calendar

In Outlook 2003:

  1. In the left pane, click Calendar.

  2. Under My Calendar, click Open A Shared Calendar.

  3. Enter the user's name or click Name to select from the Global Address List.

Error Printing Shared Calendar in Daily View

When you print a shared calendar in “Daily” view in Outlook 2003, you receive the following error message:

  • “The messaging interface has returned an unknown error. If the problem persists, restart Outlook.”

This occurs because the user printing the calendar does not have access to the other user's Tasks folder.

Solution

  1. Log in as the user whose calendar is being shared and open Outlook.

  2. On the View menu in Outlook, click Folder List to display your mail folders.

  3. Right-click the Tasks folder and click Properties on the shortcut menu.

  4. Click the Permissions tab and click Add.

  5. Under Type Name or Select from List, click to select the user you want to grant permissions and click Add to add them to the Add User list and click OK.

  6. In the Name and Role list, click to select your new user.

  7. In the Roles list, click at least Reviewer and click OK.

Workaround

  1. Choose FilePrint;

  2. Choose Daily Style under Print Style;

  3. Click Page Setup;

  4. Uncheck Taskpad.

  5. Click OK to exit the Page Setup dialog.

  6. Click OK to print.
