Outlook: Creating Boilerplate Text

Microsoft Outlook can create a library of boilerplate text in a feature called Quick Parts.

Creating Quick Parts

  1. Open a blank message.

  2. Create the text required, including formatting as required.

  3. Highlight the text.

  4. Click Insert from the ribbon, then choose Quick Parts. Choose Save Selection to Quick Part Gallery:

    (or press Alt-F3.)

  5. Under Name, enter a meaningful name and click OK:

Inserting Quick Parts

When composing a message, if you know the name of the Quick Part, you can type the name and press F3 to quickly insert it.

Otherwise, click Insert in the ribbon, then choose Quick Parts and select the required item.

Deleting Quick Parts

  1. Open a blank message.

  2. Click Insert from the ribbon, then choose Quick Parts.

  3. Right-click on any Quick Part and choose Organise and Delete.

  4. Click on the item to delete and click Delete.

Editing Quick Parts

A Quick Part can't be edited directly. So the technique is:

  1. Open a blank message.

  2. Insert the required Quick Part as described above (“Inserting Quick Parts”).

  3. Modify the text as required.

  4. Select the text and create a Quick Part as described above (“Creating Quick Parts”).

  5. Delete the original Quick Part as described above (“Deleting Quick Parts”).
